The Recovery Bay ("I", "me") provides sports massage and assisted stretching around Poole, Wareham and the surrounding Dorset area. This policy explains what personal information I collect when you get in touch or book a treatment, why I collect it, how it's used and your rights.

When you message or enquire via WhatsApp, Instagram, the website contact form or email, I may collect your name, phone number or email address, along with any information you choose to provide about what you're looking for, such as session length, location, preferred timing or what's bothering you.
When you book, I collect the above information along with details of your appointment.
When you attend a treatment, I collect information provided on your consultation form. This may include your name, address, date of birth, relevant health information such as medical conditions, medications, allergies, recent surgery or injuries, your fitness history and an emergency contact. I may also make treatment notes about what we worked on and how you responded.
When you pay, I may receive information associated with your payment, such as your name and payment reference. I don't collect or store your full card details myself.
Health information is classed as special category data under UK GDPR and is handled with additional care.
A note on emergency contacts: If you provide someone else's details as your emergency contact, please let them know that I hold their name and contact number. These details will only be used if necessary in an emergency relating to your treatment.

You don't have to provide information that isn't necessary. However, I do need certain contact details and relevant health information to arrange your appointment and make sure treatment is appropriate and safe for you.
If you choose not to provide information that's necessary for this purpose, I may not be able to provide treatment.
Under UK GDPR, I need a lawful basis for using your personal information. For general personal information, I process information where it's necessary to take steps at your request before providing a service, to provide and manage the service you've booked, or where I have a legitimate interest in running The Recovery Bay and maintaining appropriate business and treatment records.
Health information requires additional protection under UK GDPR. Where I rely on your explicit consent to process health information, this will be obtained through the consultation process before treatment.
You can withdraw consent by contacting me. This won't affect information that was lawfully processed before consent was withdrawn.
I take reasonable steps to keep your information secure and restrict access to it.
I don't sell or rent your personal information. I may share information with my professional insurer, where reasonably necessary in connection with an insurance matter or claim.
I also use third-party services to operate the business, including WhatsApp, Instagram, Google Calendar and my email provider. These services may process personal information when I use them to communicate with you or manage appointments.
Some service providers may process information outside the UK. Where this happens, the provider is responsible for applying appropriate safeguards required under applicable data protection law.
I won't use your information for marketing without obtaining any consent required to do so.
I don't use your personal information for automated decision-making or profiling.
I only keep personal information for as long as it's reasonably necessary for the purpose for which it was collected, including any professional, insurance, accounting or legal requirements.
Treatment records are normally retained for 7 years after your last treatment, subject to any longer period required by my insurer, professional obligations or law.
Enquiries that don't result in a booking aren't intentionally retained for seven years and will be kept only for as long as reasonably necessary.
Appointment and payment records may be retained for the period required for business, accounting and legal purposes.
When information is no longer required, it will be securely deleted or destroyed where reasonably practicable.
